Case 03 / Services

A booking and operations platform for a multi-city services business

One system for scheduling, field teams and billing, replacing a spreadsheet stack that had stopped scaling with the business.

01 / The challenge

The business had outgrown the spreadsheets holding it together.

Bookings came in over phone and chat, schedules lived in shared sheets, and every new city multiplied the coordination rather than adding to it. Nothing was broken enough to stop the business, and everything was slow enough to cap it.

02 / Our role

We replaced the stack one workflow at a time, without stopping operations.

We mapped how the work actually ran, then built the platform in the order that removed the most manual coordination first, running old and new side by side until each workflow was safe to switch.

Booking and scheduling

Availability, assignment and rescheduling in one place, with the constraints the dispatchers already knew encoded in it.

Field app

A phone-first view for on-site teams: the day, the job, the proof of completion.

Billing and reconciliation

Invoices generated from completed work, so the money follows the jobs without re-entry.

Operator dashboards

City-level views of load, delays and revenue, built for the people running the day.

03 / The outcome

A fourth city is now a configuration, not a project.

The platform runs the day for dispatchers, field teams and finance, and adding a city no longer adds a coordination layer.

04 / Impact

The numbers we track with the client.

3
